What you need to know to write Effective Complaint Letters.

Sending the wrong letter of complaint or sending it the wrong way can substantially hurt your chances of ever getting the results you want. Your first letter should NOT be certified. Your last letter usually should.

Here are other things you need to consider:

  • Should my letters sound like they are from a lawyer or that I've talked to a lawyer? No. But it's very important to use a legal word or two in each letter. Use one the 7 legal words on my list and will really get the other party's attention.

  • How much detail should I cover in the first letter and how long should the letter be?

  • Should I send my letter of complaint to a particular person or to: Dear Sir: Customer Service Department?

    These are just some of the many things you need to know to write letters of complaint that really get results.

    Anyone who is offering you dozens or hundreds of complaint letters is saying they don't know what works. My proven complaint letters work! Nothing beats them.

    Here are some additional important points to be aware of when you write your complaint letter.

  • Don’t send a complaint letter until after you’ve talked to a company representative and failed to get the problem resolved.

  • The most important thing to remember is to use logic and NOT emotions. If you want to rant and rave and get if off of your chest, talk to your dog or cat. (Your cat won’t listen, but your dog probably will.)

  • Stick to the facts. Be courteous. No name-calling or put-downs (regardless of how stupid, incompetent or lazy you think the person you talked to was).

  • You have to get the attention of people who don’t want to be bothered with small problems. (You want to become a BIG problem that needs to be dealt with.)

  • Your complaint letter has to be persuasive. There is a difference between negotiation and persuasion. In negotiation you give up “A” to get the other person to give you “B.” In persuasion you get the other person to do what you want and you don’t give up anything. You may need to do some negotiating and some persuading.

    Here is the advice an old lawyer gave a young lawyer once. The old lawyer said, . . .

  • "If the facts are on your side, stick with the facts."
  • "If the law is on your side, stick with the law."
  • "If neither the facts nor the law are on your side, pound on the table and scream.”
  • When you see the other party ranting and raving it’s probably because neither the facts nor the law are on his side.

    Below is an arsenal of my all-time favorite complaint letters. These complaint letters have proved over and over that they WILL get results. Believe me, these letters of complaint won’t be ignored.

    Send the complaint letters in the proper order and you will get the money or results you're entitled to. Of course, you can change any letter of complaint in my arsenal slightly, but stick to the basic format. Start with the first letter.

    If you get a response asking for more information or offering you an alternative solution, etc., you should respond and proceed step-by-step to get your complaint resolved.

    It is only when progress comes to a halt that you send the 2nd letter and likewise the 3rd letter.
